Data we collect
- Contact form fields: name, email, selected engagement, and message content
- Email and phone correspondence related to scoping and delivery
- Billing contacts and invoice details when you commission work
- Technical logs such as approximate IP address and browser type for security of the site
Subscriber extracts supplied for analysis must be de-identified. We do not seek personal subscriber identities and will request removal of such fields if detected.
Purposes and legal bases
We process contact data to respond to inquiries, prepare quotations, perform contracted analysis, meet accounting duties, and improve site reliability. Processing rests on steps prior to contract, performance of a contract, legitimate interests in operating a professional practice, and legal obligations where applicable under Vietnamese law.
Retention
Inquiry messages are kept up to 24 months if no engagement follows. Contract and billing records are retained for the period required by Vietnamese accounting rules, typically up to 10 years. De-identified analysis working files are deleted or returned according to the engagement scope, usually within 90 days after final delivery unless a longer archive is agreed in writing.
Processors and transfers
Email and hosting providers may process limited technical data on our behalf under instructions. If a provider stores data outside Vietnam, we assess safeguards appropriate to the transfer and the sensitivity of the information. Engagement extracts are handled under the transfer method agreed in the scope letter.
Your rights
Subject to Vietnamese law, you may request access, correction, or deletion of personal data we hold about you, and you may object to certain processing. Contact hello@panel-willowcore.click with “Privacy request” in the subject line. You may also lodge a complaint with the competent Vietnamese authority.
