Refunds and rescheduling

Eligibility overview

These terms apply to paid engagements listed on this site: Subscriber Churn Assessment, Usage Pattern Reporting, Cohort Behavior Study, and Network Load Briefing. They do not cover software licenses or physical product shipments, which we do not sell.

Timeframe to request a refund

Refund requests must be sent to hello@panel-willowcore.click within 14 days of the event that triggers eligibility (for example, cancellation before work starts, or a documented delivery failure). Include your quotation reference and reason.

Full refund

A full refund of amounts paid is available if you cancel in writing before we begin dictionary review or extract processing, and before any on-site visit is incurred. If we cancel an engagement for reasons within our control and cannot offer a suitable alternative date, you also receive a full refund of amounts paid for the unfinished work.

Partial refund

If you cancel after analysis has started but before the final pack is delivered, we may refund the unused portion after deducting time already spent, documented at the rates in your quotation, and any non-recoverable travel already booked with your approval. The deduction will be itemized.

Non-refundable items

• Completed briefings and delivered final packs
• Deposits once dictionary review or extract processing has begun, except where we fail to deliver as scoped
• Third-party costs you pre-approved (for example, venue hire for a large briefing)

Refund process and timing

Approved refunds are processed within 14 business days of approval and returned via the original payment method where possible, or by bank transfer to the corporate account on the invoice. You will receive written confirmation of the amount and method.

Cancellation and rescheduling

You may reschedule a live briefing once without fee if you give at least five business days’ notice. Later changes may incur a rescheduling fee of up to 10% of the briefing portion. Recurring usage cycles may be paused with 15 days’ notice before the next cycle start; packs already in production for that cycle remain payable.

Deposits and no-shows

Deposits secure analyst calendar time. If your team does not attend a confirmed briefing without notice, the briefing portion may be charged and a new date quoted separately. Deposits are applied to the final invoice when work completes.

Work already started and materials

Draft charts and working notes produced before cancellation remain Willowcore materials unless the quotation assigns them to you upon payment for time spent. We do not purchase physical research materials for clients as a standard offer; if a scope uniquely requires them, those costs are called out and treated as non-refundable once ordered.
